Main Job Purpose:

Responsibility of all outbound documentation process as one point of contact for all internal and external stakeholders (Planning, freight forwarders, customs clearance agents, warehousing and transportation)
also to drive process optimization of all day to day activities related to documentation for improving lead-time and reducing errors and documents misplacement. Fully responsible for process KPIs, lead-time analysis and business waste related to documentation.

This role reports direct line to Gulf Transportation Manager.

Key Responsibilities:

· Make sure documents are issued and received to the 3PL documentation agent.
· Track the status of documents with 3PL and communicate issues and provide solutions.
· Receiving all physical documents from 3PL and perform the proper validations following the documentation checklist and make sure 3PL sign-off the deliver cover letter.
· Deliver the documents to all SUs for delivering to truck drivers and make sure they sign the delivery note.
· Follow-up with border agents on the availability of documents to start the clearance process with no delays.
· Respond to routine enquiries concerning documents availability in case any discrepancy.
· Monitor and update performance indicators (KPI) for 3PL.
· Responsible to reduce demurrage related to documentation delays.
· Suggest proper improvements to the documentation process by analysing E2E shipment lead time by eliminating NVAA and automation.
· Maintain communication daily with country logistics and act in order to respond on their queries.
· Support Transportation Manager in various optimization projects.
· Be responsible for full consistency of documentation process Ways of Working
· Provide regular calls with countries logistics, clearance agents, transportation and warehouse teams.
· Full monthly reporting on the details per shipment (OBD, Ship ID, PFI, loading date…etc)
· Escalate all business issues on time and with proper details for fast action and decision making.

Professional Skills:

ESSENTIAL

· University degree in Business Administration / Engineering / Logistics

· Fluent in English and Arabic.

· Proficiency in MS Office applications

· Excellent communication skills

PREFERRED:

· SAP or any ERP system knowledge is preferable

· Good working knowledge of Supply Chain Processes

Experience Required:

· Minimum 2 years of experience in similar positions in Logistics / Planning
