WHAT WILL BE YOUR ROLE?

This role will play a key part in aligning and integrating the global and local teams throughout the transformation across Workplace and Travel services. This will include supporting the co-ordination of key meetings, driving actions and agendas and ensuring regular and relevant communication forums and briefs. Providing ad hoc PMO support to Employee Experience projects within the portfolio.

WHAT ARE YOUR RESPONSIBILITIES?

This role requires a well organised individual who can support and positively influence individuals to ensure delivery across Workplace and Travel services.

· Maintain excellent knowledge of all projects in the jobs to be done (JTBD) portfolio to act a link-pin in overall delivery knowledge
· Support the governance model for all JTBD activities, ensuring good knowledge of PowerBI and reporting process
· Act as analyst to support various Workplace and Travel Services projects and Jobs to be Done in a PMO capacity
· Maintenance of Workplace & Travel Services main SharePoint sites, including maintaining internal (WTS) and external (ETS and broader Unilever business) areas with up to date information. Whilst acting as the go to person for all SharePoint queries for the team.
· Assist and schedule key functional and global meeting, i.e. quarterly Global WTS Townhalls and support functional team meetings for WTS. Ensuring clear action tracker is maintained to drive completion
· Support the Communications and Strategy lead in managing the Workplace and Travel services shared mailbox, i.e. creating and sending standard emails to large Workplace and travel services groups
· Maintaining the Workplace and Travel service organisation charts
· Maintain Workplace & Travel Services Communication Distribution lists
· Maintain stakeholder map for Workplace and Travel services
· Champion the use across the team of key collaboration tools such as Yammer. Ensuring appropriate use to share knowledge and experience, great delivery and good news stories.
· Encourage a learning culture across the team. Lead by example in the use of learning tool (Degreed), ensure familiarity across the team of the Learning tool
· Take responsibility for purchase order entry and goods receipt for Workplace related projects including:
· Manage the processes to support our controls around purchase to pay
· Support the Workplace team with the raising of all PO's, tracking commitments with suppliers against broader project funding and managing effective GR'ing of invoices
· To be a key point of contact for our suppliers when issues arise that require further escalation in the standard finance accounts payable processes
· Proactively review invoices and payments, react quickly and find resolution to any PO, invoice or payment related issues

WHO ARE WE LOOKING FOR?

· A candidate who has a minimum 3 years of experience in PMO, governance and handling projects.
· Someone who has excellent communication and skills in managing high level stakeholders (both local and global stakeholders)
· Some with real accountability - taking responsibility for doing what you say
· An individual who has an ability to develop new approaches to meet changing needs and to work in a fast-changing, quick-paced work environment and prioritize and plan to meet timelines
· A Proactive individual and flexible in style and approach
· Someone who can relate to and influence a wide range of personalities, levels of seniority and working styles
