The Talent Development and Learning Team for EY Canada is seeking a personable, polished and proactive individual to help us plan and deploy small and large-scale learning and networking events. The incumbent will work primarily with the Advisory learning team and will have opportunities to contribute to cross-service line events. 

The Learning Deployment Coordinator (LDC) will assist with administration and logistics, including setting up classes, managing rosters, drafting and distributing learner communications, and facilitating course evaluations.

The ideal candidate will have the experience, impeccable attention to detail, and enthusiasm to dive into multi-faceted projects and foster positive relationships with peers and key stakeholders at all levels of leadership. This role reports to the Learning Services Specialist.

This is a 14-month contract position . Overtime consisting of early morning or evening commitments may be required to set up and pack up after courses and receptions.


Your key responsibilities


Learner administration

·  Assist with identifying target learners and forecasting the number of classes, participants, facility location, timing, session counts, and general course planning
·  Respond to learner non-subject matter questions (e.g., class location)
·  Keep class rosters, tracking sheets, calendars and the SharePoint site updated

Instructor support

·  Meet instructors at start of class and be accessible to instructors for troubleshooting and support
·  Maintain Instructor database / tracking sheet
·  Cultivate positive relationships with instructors

Learning Management System (LMS)

·  Set up courses and classes within the LMS, including attendance tracking
·  Support and train other staff as required
·  Monitor continuing Education (CE) compliance
·  Generate potential participant lists
·  Update and manage rosters, manage waitlists, cancellations, etc.

Evaluations
·  Create and manage distribution and collection of class evaluations
·  Review evaluation summary reports and distribute to content team and course sponsor

Course logistics
·  Request and confirm facilities, catering and technology needs
·  Provide all on-site and off-site classroom support (e.g. deliver, unpack, and distribute class materials, meet instructors and participants, etc.)
·  Provide sign-in sheet, collect, verify completeness and submit copy to Learning Management System
·  Manage registration for major events via registration database and provide reports to stakeholders
·  Liaise with Strategic Sourcing and Meeting Room Bookings
·  Order course materials for distribution, prepare nametags
·  Work with our off-shore Learning Administration team to prepare and send participant communications (e.g. invitations, travel emails, etc.)

Budget and Invoicing
·  Gather / compile preliminary information for budgets and review with Learning Leader
·  Review and process invoices
·  Advise Learning Leader if any accruals are needed

To qualify for the role you must have

·  A university education and experience in managing conference logistics, program deployment or project management
·  Proficiency in Excel (filters, vlookups, pivot tables or Power Query), Outlook, Word and PowerPoint
·  Strong attention to detail and impeccable communication skills
·  Strong analytical, organizational and project management skills
·  Great interpersonal skills and ability to build and maintain trusted relationships
·  Willingness to work in a team environment
·  Ability to manage multiple priorities independently during peak times
·  Ability to take initiative and think through next steps / prioritize items to complete
