Junior Executive Assistant – Dublin - Permanent

 

The opportunity

 

To undertake hands on training and build knowledge and skills in all EY practices and processes to become an effective Executive Assistant; to understand EY culture and focus; whilst working towards, and building the necessary experience to take an onsite portfolio through on the job learning supporting both local and offsite EA teams.

Your key responsibilities

 
►            Understand the processes of diary management, building knowledge to enable effective working within own calendar and to plan appointments/meetings for others.
►            Gain knowledge and practices to show competency in identifying and resolving conflicts and to use initiative and judgment on priorities.
►            Acquire skill to monitor meeting attendance, taking ownership to ensure enquiries and issues are appropriately delegated and resolved effectively.
►            Understand all processes to enable completion of logistical arrangements for meetings/events and ensure documentation is prepared in advance of meetings.
►            Develop and maintain internal and external networks, building knowledge of key business matters in order to effectively identify and communicate priorities.
►            Understand/acquire knowledge and skill to research, plan and reserve ROI and Global travel for self and others.
►            Use developing skills to deputise for local EAs in case of illness or extended annual leave.
►            Act as point of contact of off-site EA team for expense process and meeting and greeting guests.
►            To work as part of a wider EA team to assist local EAs in providing support to the leaders of the firm.

To qualify for the role you must have

►            Previous working experience is preferred.

►            The confidence to engage with people of all levels.

►            An enthusiasm for organisation and planning.

►            Demonstrated experience of planning and using judgement to resolve problems.

►            Ability to build relationships quickly.

 

Ideally, you’ll also have

►            A passion to become a professional secretary/EA.

►            Knowledge of Microsoft Office packages.

►             Working towards an acknowledged secretarial accreditation is an advantage.
