Role Purpose Statement: 
The Accounting Administrative Assistant will provide administrative clerical services to multiple Practice Groups within the Industry Division including printing, filing, uploading, and working on special projects.  

ACCOUNTABILITIES
•    Understand customer website (OpenInvoice, Ariba, iSupplier) and/or portal submission process.
•    Assist project accountant to save approved invoice to accounting repository.
•    Timely submit final version invoice to client website for payment.
•    Create or complete any documentation required as support of invoice submission.
•    Notify project accountant of any deficiencies or issues raised when submittal.
•    Download inspection reports and/or timesheet from Siebel per request.
•    Download technical reports from CVTS website as support to invoices.
•    Search and pull expense receipts from systems (Metrix, Concur, shared folder).
•    Assist in complete project setup in system. 
•    Ensure timely communication with project accountants on any issues that arise with documentation and invoicing matters.    
•    General office management, including distributing office suppliers, mails, and inventory organize.
•    Maintain and manage manual filing systems (paper, digital, and catalog).
•    Provide daily support to accounting team upon request. Contribute to team effort by accomplishing related results as needed.
•    Participate in weekly staff meetings by gathering information about outstanding invoice for uploading, and providing updates on ongoing tasks.
•    Assist with other accounting projects in the office.
•    Perform other related duties as assigned

 

Minimum Education/Experience & other requirements:     
•    High school diploma or equivalent; college degree preferred.
•    1-3 years of experience in office management or related area.
•    Excellent communication skills with high level of English proficiency, both written and verbal
•    Strong organizational skills and attention to detail.
•    Ability to work independently, multi-task, and prioritize tasks.
•    Highly professional demeanor.    
•    Good understanding of MS Officer, basic computer and Microsoft (Excel)
