JOB DESCRIPTION:

Job Summary:

Responsible for general receptionist duties including: answering phones, directing calls, greeting guests and sorting and distributing mail. Also provides administrative support to the Human Resources function.

Job Duties:

  • Perform all front desk responsibilities including answering phones, directing calls and greeting guests
  • Sort and distribute incoming mail
  • Coordinate catering for meetings
  • Maintain conference room schedules
  • Provide Human Resources administrative support including: scheduling interviews; entering resumes into system and filing
  • Provide employee activity support including: selling tickets and posting MERSC activity notices
  • Generate facility supply orders and follow up with Accounts Payable
  • Other projects and duties as assigned
  • Support all Company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
  • Complies with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments. Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
  • Performs other related duties and responsibilities, on occasion, as assigned.

Equipment:

Works with standard office equipment such as telephone, cellular phone, fax/copier, and a personal computer with standard office software.

Working Conditions:

Works primarily in a standard office environment with air conditioning, good lighting with a low to moderate noise level. May travel between company facilities, visit labs, and other areas as necessary.

Qualifications:

General Qualifications

  • High school diploma or equivalent, post high school education is desired
  • Minimum of 2 years of receptionist or administrative assistant experience desired
  • Proficient with Microsoft Office products and personal computer applications
  • Experience using multi-line phone system
  • Well organized and detail oriented
  • Pleasant phone manner and professional appearance
  • Strong verbal communication and customer service skills
  • Ability to work in a highly matrixed and geographically diverse business environment.
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment.
  • Ability to leverage and/or engage others to accomplish projects.
  • Multitasks, prioritizes and meets deadlines in timely manner.
  • Strong organizational and follow-up skills, as well as attention to detail.
  • Ability to maintain regular and predictable attendance.
  • Occasional scheduled overtime is a requirement of this position.
